Although many healthcare facilities are advancing toward the use of Electronic Health Records (EHR), registration processes often lag behind, requiring the time-consuming, manual collection of patient signatures on dozens of consent forms. Health Information Management (HIM) and medical records staff must then scan signed paper documents and import them into an EHR system to prevent chart deficiencies and reduce claim denials.

With Bottomline Patient Signature Capture™, patient signatures are captured digitally at the point of admission. Electronic files are then instantly attached to the patient’s electronic record and the data is readily accessible in real-time to authorized users across the continuum of care. Electronic health records help users to streamline revenue-generating HIM functions that rely on timely access to patient information, such as coding and billing, while providing an auditable, legal history of patient treatment.

How Patient Signature Capture Works
Once an admissions packet is created, MedEx®, Bottomline’s healthcare forms automation solution, automatically generates and prints any documents that require a patient’s signature. The appropriate staff member would then attach the paper documents to a digital tablet. Using the pen, the patient signs the necessary forms on the input device. The Patient Signature Capture application actually stores the signature with the document image. The document is then sent to the Hospital’s downstream repository or Patient EHR system for access throughout the facility or health system. The patient keeps the original, signed paper forms.

With Bottomline Patient Signature Capture, administrators have the option of using a laminated form in place of paper in order to eliminate paper registration processes. In this scenario, the patient signs the laminated form directly on top of the digital input device, and the form and signature are instantly stored in the patient’s electronic health record. The ability to use a laminated form helps hospitals get one step closer to a paperless environment. It also increases patient safety by reducing the number of paper documents containing personal healthcare information that patients may randomly discard.
