This article focuses on delivery of MPS, and key items to be aware of as you embark on an MPS program. At the start, work with your MPS provider to establish clear objectives and policies that support the continuous improvement of your fleet and cost reductions.
By having the proper controls and management processes in place you will maximize your investment. Controls and management focus on four areas: Consolidation & Optimization; Asset & Supplies Management; Print Policy; and Change Management.
Consolidation & Optimization
In the assessment phase of MPS, oftentimes companies do not really know how many output devices they actually have. And in almost every case, the assessment reveals far more devices than are necessary. The other surprising item is the diversity of output devices that are in place – more models and more manufacturers than anyone realized. Your MPS vendor will help identify ways to consolidate these devices to fewer models and brands, which helps meet several objectives:
- Reduce the amount of supply types you need, which in turn reduces waste due to aging supply stocks
- Alleviate pressure on IT support to install and manage various device drivers
- Simplify help desk support complexity by reducing the variety of devices they need to understand
- Standardized the user experience from device to device, increasing productivity and limiting training requirements
