Butler County Health Care Center Chooses Access Electronic Patient Signature & E-forms To Complement MEDITECH 6.07 EHR Rollout

Nebraska critical access hospital will replace pre-printed forms with electronic versions generated on demand with patient demographics mapped from MEDITECH; will also capture e-signatures and generate bar-coded wristbands.

Sulphur Springs, TX (PRWEB) - To coincide with its deployment of MEDITECH’s 6.07 EHR in May 2014, Butler County Health Care Center (BCHCC) recognized the need to get forms into patient records more efficiently, and to apply electronic signatures to each form. This critical access hospital also wanted better version control and to be able to design, update and publish e-forms easily as required. BCHCC chose Access to meet these needs.

Introducing the Access system will end BCHCC’s reliance on a manual, paper-driven registration process. When a registrar sets up a patient in MEDITECH, they’ll simply click a button to generate a customized admissions packet with unique identifiers and patient demographics pre-filled. The patient will then complete their forms and apply secure electronic signatures, prompting the Access system to send the e-forms directly into the correct record in MEDITECH.

“With paper forms it can take up to a week for them to be scanned into the patient’s record,” Naiberk said. “The Access system will make this information available across the hospital almost instantly, which is a big factor in us creating an electronic health record.”

In addition to generating e-forms registration packets on demand, the Access system will also simultaneously output bar-coded patient wristbandsand forms labels.

“As the Access solution lets us create patient wristbands and forms labels on our existing thermal printers we won’t have the added expense of buying new hardware,” said BCHCC IT Director Cynthia Neesen.

It can be difficult for any hospital to ensure that staff members in multiple departments are using only the latest forms versions, and harder still to remove outdated forms when new iterations are made available. Creating a standardized forms creation process is a further headache. Naiberk believes Access will help BCHCC overcome both these challenges.

“Right now almost anyone can create a form and there can be multiple versions of a document,” Naiberk said. “With Access, we’ll know that only the latest versions are being used and that these have come from a set process – a big boost to our document control.”

BCHCC has also turned to Access for improving its check printing. Going forward, users will be able to print checks for payroll and other activities on blank stock, instead of requiring costly check stock. Access’s easy-to-use design tool will make it easy for BCHCC to make changes to its check templates, such as by adding a new logo.

“Whether it’s generating W-2s at the end of the year or dealing with employee paychecks, the Access system will reduce user frustration,” Naiberk said. “Other options we looked at were more expensive.”
